DUTIES:
The Sioux Falls VA Health Care System is currently recruiting for a Full-time, Permanent, Medical Support Assistant . This position will be located in the Primary & Specialty Medicine Service Line. The medical administrative support (MSA) position is a foundational role within the VHA Patient Aligned Care Team (PACT) model transformation initiative. Patient care is delivered in a team based model known as the teamlet or pod. Members include the MSA, a Registered Nurse Care Manager, a Licensed Practical Nurse/Licensed Vocational Nurse and a primary care provider. The teamlet/pod provides the majority of the healthcare needs for an assigned panel of patients. The teamlet/pod works collaboratively with other members of an expanded health care primary care team including pharmacists, social workers, dieticians, behavioral health staff, etc. to provide a robust interdisciplinary approach to care. MSAs staff the patient check-in/check-out desks and also work in the call centers scheduling appointments. As a Medical Support Assistant, you are responsible for the following duties to include, but not limited to:
Establish and maintain medical outpatient and inpatient charts as well as administrative records.
Verifying third party insurance and updating information in the Insurance Capture Buffer (ICB) system; obtaining medical information from patients; coordinating information and actions related to patient care and services; and scheduling appointments in accordance with VHA national scheduling guidelines.
Explains VAÂ's mandate to collect insurance information to veterans, their families, and other eligible patients. He/she collects, scans, and updates health insurance information.
Promotes veteran registration for and utilization of My Health eVet (MHV), online personal health record for veterans. Performs In-Person Authentication (IPA) for veterans requesting initial access to individually identifiable health information within the MyHealtheVet web-based application.
As front line contact with patients and staff, the MSA sets the tone for perception concerning quality of healthcare services at the VA. A high degree of tact and diplomacy is required when dealing with veterans who have multiple health problems and who may be frustrated with the administrative process associated with diagnosis and treatment.
When records are received, the MSA will ensure that all necessary health/administrative information are integrated into Computerized Patient Record System (CPRS) through scanning hardware and Vista Imaging software. The MSA scans and indexes materials accordingly into CPRS Vista Imaging, on a timely basis and within established guidelines; and makes the proper disposition of documents. After the scanning and indexing process is complete, the MSA will review the quality of scanned documents to ensure integrity of scanned images.
The position involves performing receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients and maintains appointment schedules for one or more outpatient clinics. The MSA must screen/receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and established clinic processes.
The MSA is responsible for processing first party requests for medical records and third party requests from non-VA providers. Responds to urgent or emergent written (faxed) requests for medical information from hospitals and/or doctors.
Schedule appointments and utilize the Electronic Waiting List accurately in a timely manner. All appointments will be made with the patientÂ's input, either in person or by phone. This may require a high level of coordination to avoid patients having to make multiple trips to the medical center whenever possible.
Work Schedule: The tour of duty for this position will be administrative hours, M-F.
Relocation Expenses: Relocation expenses are not authorized for this position.
QUALIFICATIONS REQUIRED:
Basic Requirements:
Citizen of the United States.
Must be proficient in spoken and written English.
Education/Experience Requirement:
- Applicants must have 6 months experience of clerical, office, or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
- Applicants must have completed one full academic year of education above the high school level; OR
- Equivalent combinations of experience and education are qualifying for entry level for which both education and experience are acceptable.
GS-3 (Entry Level):
Experience or Education:
- None beyond the basic requirements.
Experience and Education:
- One year of experience in clerical or office work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
- Two years of education above high school.
- One year of experience equivalent to the next lower grade level; OR
- 4 years of education above high school.

PHYSICAL REQUIREMENTS: The work of this position is primarily sedentary involving periods of moderate to heavy computer usage. Daily intermittent walking, standing, bending, stooping, reaching, and carrying of lightweight items is required.
